Learn how to accept or reject applications, customize emails, and include jury feedback to provide meaningful insights to participants.

Evaluation sessions streamline the process of accepting or rejecting applications during the application period. Here’s how to manage and communicate your decisions efficiently.

1️⃣ Go to the Results Tab

• Navigate to your evaluation session and click on the Results tab.

2️⃣ Set the Application Status

• For each project or participant:

• Select To Accept for approved applications.

• Select To Reject for declined applications.

3️⃣ Prepare Acceptance or Rejection Emails

• Click Modify Acceptance/ Rejection Email to customize the messages.

• Personalize emails by adding:

  • Variables (e.g., participant/project names).

  • Your signature or program-specific details.

  • Don’t forget to click Save after editing.

💡Pro tip: Include Jury Feedback in your acceptance or rejection emails 📣

Adding jury feedback to your acceptance or rejection emails enhances the value for participants and showcases the professionalism of your program.

Use the following variable fields to incorporate feedback left by juries:

  • {challenge_jury_session_element_juries_feedback}: Displays detailed feedback from juries

  • {challenge_jury_session_element_juries_feedback_anonymous}: Includes feedback without identifying the jurors.

  • {challenge_jury_session_element_avg_jury_score}: Displays the average score given by juries.

This feature allows you to share personalized, meaningful insights, making the feedback process more constructive and impactful.

4️⃣ Choose a Delivery Method

Select one of the following options:

Send Immediately: Results are sent right away.

Send on a Specific Date: Schedule the emails for a later date.

• If sending immediately, click Send to dispatch the emails.
