📁 The automatic emails

There are three email systems: the email scheduler (newsletters), the emails linked to modules and the transactional emails.

1/ The email scheduler 📨

➔ Click on the management space button

➔ Click on the Mails tab,then on the "Schedule mails" sub-tab

If you want to create an email, click on + Add a new scheduled email

A scheduled email is composed with:

  • A subject

  • A body (obviously)

  • Dates and Times

  • Recipients :

    • Participants

    • Admins

    • Jurys

    • Experts

    • Project members

    • Project Application members

    • Project followers

    • Jury session members

    • Vote session voters

    • All (the 10 above)

  • For the participants, you can choose their status :

    • All

    • Pending enrollment

    • To review

    • Accepted

    • Rejected

  • For the jurys, you can choose their jury session, and their status :

    • All

    • Pending review

    • To accept (when the results will be send, they will receive an acceptance email)

    • To refuse (when the results will be send, they will receive a rejection email)

    • Accepted

    • Refused

  • For the project members, you can choose the active module and their status :

    • All

    • In progress

    • Draft

    • To accept

    • To reject

    • Accepted

    • Rejected

  • For the project application members, you ca choose the registration status :

    • All

    • Draft (the registration is not completed)

    • Pending review

    • Rejected

For each email, variables are available allowing you to personalize it as much as possible

Example: if you use the variable {firstname} in the sentence "hello {firstname}", the participant Élodie will receive "Hello Élodie"

Click on Add to save it!

If you want to add changes, click on the 3 dots then on Edit.

🚨 With the "Activities" tab, you can track your emails, openings, clicks and recipients.
